This resource has you covered for accounting, tax records, class records, bookkeeping for your small online teaching business, student record-keeping, and more.

Page 1: Keep track of your class information, including student and curriculum information, homework, date/time, finish type, feedback rating from the parent, lifetime classes with that student (calculated automatically!), and a copy of your written feedback to the parent. Give your students a student number to keep track of them automatically throughout the spreadsheet.

Page 2: Keep track of your income! Input the parent and student names, contact information, invoice number, dollar amount and net income amount, date, number of classes purchased, and which parent referred them (if any). It automatically calculates any fees taken by your payment gateway and what percentage of your total amount the fees came out to. It also calculates your total income and fees paid! By inputting the student number of the family who referred them, you give them a free class in page 4!

Page 3: Keep track of your expenses! Input the items purchased, who you purchased from, the cost, the frequency of the payments, the date, and an order number. It automatically calculates your total income! You can also keep track of potential costs here.

Page 4: Keep track of each student’s account details here! Parent and student names (and their account number) go here. The amount of classes they have purchased and any free classes from referrals are automatically calculated! It also tells you the total amount of classes they have on their account, any trials they’ve had, how many classes they have used, and the amount of classes remaining on their account. This page is almost entirely automatic! Free trials are already built into these calculations as long as you write “Trial” under the Type column in the feedback worksheet.

Page 5: Keep track of additional student information on this page, such as name, birthday (their age automatically calculates!), siblings, location, contact information, previous learning experience, strengths/needs/goals, hobbies, preferred class type, Lexile/reading level, and preferred class day/time.
